The Booking Procedures & Terms + Conditions

The booking process as follow.

STEP 1: Appointment to view our venue

STEP 2: If you are happy with our venue, we draft an invoice with all relevant information. The booking fee of R8000 is payable on confirmation to secure your wedding date.

STEP 3: Two consultations of one hour each to discussed and plan the MENU, BEVERAGES, TIMELINE, TABLE-PLAN, DECOR, FLOWERS, CEREMONY SETUP, RECEPTION SETUP, WEDDING CAKE, ACCOMMODATION, DIETARY REQUIREMENTS

Any extras that is not part of the package chosen by you, like candles, sashes, different tables & chairs what our venue don’t offer in our package,, extra flowers etc, packing of wedding cake in boxes, moving of existing furniture, can be done at extra costs.

STEP 4: REHEARSEl : THREE weeks before your wedding day. Please bring your photographer & DJ.

STEP 5: TERMS & CONDITIONS: Guests total confirmation 60 days before your wedding date. No refunds for guests that canceled. Final amount payable 60 days before your wedding date. We deduct the R8000 booking fee from your final amount.

Incase of cancelation, the booking fee is non refundable to cover for all our admin and time spend on planning your wedding day and most important to keep your special wedding date only for you. If we already had extra costs regarding your wedding, the invoice will be send with the difference in amount payable to us.

Incase you paid more money over than your R8000 booking fee, we shall refund this within a 60 day period. Cancelation must be at least 6 months before your wedding date. If it is less than 6 months, we do NO refunds due to a loss of income. Wedding couples plan their weddings long in advance and a small business like ourselves, can’t afford the loss of income

If for any reason you need to postpone your wedding, we can move the wedding to a date that suit both parties at no extra cost within a 9 month period. We need at least 6 months notice incase of postponement

ARRIVING ON TIME AS SCHEDULED

The wedding was planned with you to start a certain time. If you are not on time, therefore you inconvenient your guests, the chef in the kitchen and your other suppliers. Staff and owners arrived early to make sure everything is in place for your special day. Everything is planned according to you timeline. We have NO CHOICE but to add a fine of R2000 to your invoice to cover for the extra time.

Please note our general cancellation policy: Any cancellation must be in writing.

By paying your booking fee, you accept the terms & conditions.

By entering the premises of vir Altyd & Wellington Weddings venues, you agree to be responsible for your guests, children attending or dog and liable for any damages and breakages caused by them. You are liable for any breakage of any items in or outside of the venues caused by any guests or by yourself.

If you bring in your own food, please provide us with a health insurance certificate.

SMOKING has become a huge obstacle on events. Most guests do not smoke. We do allow smoking at a specific allocated area due to health risks to others, cigarette buds control and fire hazard procedures. The smokers need to adhere to this. Incase on the day, they do not adhere, we immediately make the venue a NON SMOKING EVENT.

BEVERAGES:

We are a fully liquor license holder. We allow ONLY limited sparkling wine & wine on our premises at an additional corkage fee. No guests are allowed to drink on the parking. Guests are not allowed to bring in their own drinks – non or alcoholic beverages. Our policy is to inform our security company and they will take further steps against the trespassers. If any guests get drunk and if they put any other guests or a staff member of the venues in danger, the security will remove them from the premises. Any drinks consumed by anyone on the day, must be paid in full before the wedding party leaves the premises. The couple will be held accountable for any breakage damages to be paid in full.

However, you are welcome to offer your guests a non alcohol or alcohol card facility bar option.

If you do not want a bar option on the day for a non alcoholic event, we charge R2000 to cover for the loss of business.

Please be responsible at all times. We are here not to spoil your fun, but to make your special day as perfect and safe as you would like it to be. Also keep in mind that we would like you and your guests to be safe at all times, so we need and would appreciate your co operation.
